Inserting subdocuments into the master.doc file is quite simple. In our example, we're going to tell the master document that we want it to begin looking at appendix-c.doc.

Follow these steps to accomplish this:

  • First, make a duplicate of appendix-b and give it a new name, for example appendix-c.doc. (or you can use one of the additional chapters and appendices provided with the formatting template)

  • OPEN the MASTER.DOC file. .

  • Click on the SHOW/HIDE icon in the standard toolbar so that you can see your section breaks and subdocument boundaries.

  • Go to View - Outline and expand the subdocuments by clicking on the appropriate icon in the Outlining Button Bar.

  • Once expanded, stay in OUTLINE VIEW, and scroll down to the area where you'd like to insert your subdocument.

  • Once there, place your cursor between the subdocuments.

  • Click on the Insert Subdocument icon in the Outlining toolbar.

  • Choose the file you'd like to insert, in our example appendix-c.doc.

  • Once this has been selected, choose Open.

  • You will now get an alert window that asks if you want to rename the styles in your subdocument. Choose No to All.

Note: We choose No to All here so that your Table of Contents (List of Tables, List of Figures, etc.) will be able to find the styles which mark the chapter titles and subheadings in your newly inserted subdocument.

  • Once this is selected, your new subdocument is now part of the template. SAVE what you've done.

Make sure you update your Table of Contents (TOC), List of Tables (LOT) and List of Figures (LOF) before you print the final version of your document.

If you have any challenges with your document, please feel free to contact us at etd@grove.ufl.edu, visit the ETD Consulting Lab in The Hub, Room 224 or call 392-HELP (4357) and select option 5.
